Terms and Conditions
§1 General Provisions
1. This Terms and Conditions apply to all Guests and persons staying at the Hotel and define the rules for the provision of hotel services, responsibility, and stay at MedHotel. It is an integral part of the agreement concluded by the Guest at the time of booking made on the website www.en.medhotel.pl. By making a reservation, the Guest declares that they have read the Terms and Conditions and accept its provisions.
2. The services are provided by the District Medical Chamber in Krakow, located at Krupnicza Street 11a – 31-123 Krakow, NIP: 6761044020, and REGON: 006210193.

4. For the proper functioning of the Hotel’s website, it is necessary to:
a. have an active internet connection and use a device that allows browsing the internet;
b. have a web browser installed on the device;
c. have an active email address;
d. have an active phone number that receives SMS.

§2 Hotel Stay
1. Rooms are rented on a hotel day basis, which lasts from 3:00 PM on the arrival day until 11:00 AM on the departure day.
2. The Guest may extend their stay at the Hotel for an additional fee. If the Guest wishes to extend their stay, they should submit the request by 9:00 AM on the day of departure using the form available at: www.medhotel.pl/form. The Hotel reserves the right to accept or reject the extension depending on room availability.
3. The Hotel has the right to refuse an extension of stay due to lack of available rooms or other valid organizational reasons.
§3 Reservation and Guest Registration
1. Guest registration is done online, and making a reservation requires full payment via the Hotel’s website. Registration applies to each person who will stay at the Hotel.
2. The hotel room may only be occupied by Guests who made a reservation. Unregistered persons may stay in the room between 7:00 AM and 9:00 PM, provided that the main Guest is present.
3. The Guest may change reservation details only via the form available on the Hotel’s website: www.medhotel.pl/form.
4. Changes such as rescheduling the stay, increasing the number of Guests, or changing the room type may be made, subject to availability, no later than by 9:59 PM on the day before the stay begins.
5. In the event of cancellation:
a. A cancellation made no later than 7 days before the stay entitles the Guest to a 100% refund of the paid amount;
b. A cancellation made less than 7 days before the stay results in no refund of the paid amount.
6. The refund, as mentioned above, will be made using the same payment method within 7 business days after the form is properly filled out and submitted.
7. For bookings marked as „non-refundable”, changes to reservation details, including dates, number of Guests, or room type, are not possible, and cancellation will result in the Guest being charged the full reservation cost.
8. For group reservations involving more than 9 guests or more than 3 rooms, the Hotel reserves the right to require a deposit. The obligation to pay a deposit may also apply to reservations that include additional options or individual requests, regardless of the number of guests or rooms. The deposit is non-refundable, regardless of the cancellation date.
9. After the specified deadline, no changes to reservation details in other bookings will be accepted, and the reservation will be processed according to the original terms.
§4 Payment Methods
1. Bank transfer payment – can be made after placing a preliminary reservation through the form available at: www.medhotel.pl/rez. After receiving an email confirming the selected date, detailed information regarding the payment recipient, bank account number, payment title, and the amount due will be provided. The funds transferred to the bank account number: 56 1240 1431 1111 0011 4556 1737 must be credited before the deadline specified in the email.
2. Payment via payment platform – by selecting one of the available options, payment can be made via instant online bank transfers. Clicking the respective bank logo redirects the user from the Hotel’s website to the bank’s website.
3. Credit card payments: VISA, Mastercard, American Express, Japan Credit Bureau, and Diners Club.
4. Digital wallet payments – Apple Pay and Google Pay.
5. Payments mentioned in points 2 to 4 are handled by the Przelewy24 platform, managed by PayPro SA based in Poznań, at Pastelowa 8, registered in the National Court Register by the District Court for Poznań – Nowe Miasto and Wilda in Poznań, VIII Commercial Division KRS under number 0000347935, NIP 779-236-98-87, REGON 301345068.
§5 Services and Additional Amenities
1. The Hotel ensures the highest standard of services, providing professional service and daily cleaning.
2. Guests have the right to raise concerns regarding the quality of services via the form available at: www.medhotel.pl/form.
3. Guests may use amenities such as the drinking water dispenser, ice maker, and coffee machine free of charge.
§6 Guest’s Responsibility
1. Minors may stay at the hotel only under the supervision of legal guardians. The guardians are fully responsible for any damages caused by the children.
2. Guests are materially responsible for any damages or destruction of the hotel property caused by their actions. The Hotel reserves the right to charge the Guest for the repair of damages caused during their stay. The repair costs will be assessed by the Hotel and presented in writing within 7 days after the stay ends.
3. Guests should ensure that all electrical devices are turned off and doors and windows are closed before leaving the room.
4. Guests must comply with fire safety rules, including refraining from using devices that may pose a fire hazard.
§7 Hotel’s Responsibility
1. The Hotel is responsible for the loss or damage of items brought by Guests to the hotel, in accordance with the Civil Code, subject to the exceptions below.
2. The Hotel is not responsible for money, securities, or items of scientific, artistic, or particular value, unless they have been properly secured.
3. All hotel rooms are equipped with safes where Guests can secure their valuables. The Hotel recommends using the safes available in the rooms. Guests may insure their valuables at their own expense. Any damages or irregularities should be reported immediately via the form available at: www.medhotel.pl/form.
§8 Return of Left Items
1. Personal items left by Guests may be sent back upon clear request and specifying the address to which the item should be sent and after paying for shipping. In the absence of instructions, the hotel will store the items for 3 months, after which they will be disposed of.
2. To receive the return of a left item, the form on the hotel’s website at: www.medhotel.pl/form must be filled out.
3. The Hotel will respond to a request for the return of items within 7 business days.
§9 Quiet Hours
1. Quiet hours are from 10:00 PM to 6:00 AM the following day.
2. Disrupting quiet hours may result in notifying the appropriate authorities and may lead to the early termination of the stay without the right to a refund.
§10 Complaints
1. Guests have the right to submit complaints in case of deficiencies in the quality of services.
2. Complaints should be submitted via the form available at www.medhotel.pl/form and reported immediately after noticing deficiencies.
3. The Hotel will process the complaints within 14 business days from the date of receipt.
§11 Additional Provisions
1. To ensure the safety of Guests and protect property, all common areas of the Hotel are under video surveillance. Recordings are stored for 30 days and are deleted thereafter unless required by ongoing proceedings.
2. Pets are not allowed in the Hotel or in the courtyard or garden areas. The ban on bringing pets does not apply to guide or service dogs, provided that this is reported in advance via: www.medhotel.pl/form.
3. Smoking Ban – Smoking of tobacco, e-cigarettes, or any other intoxicating substances is strictly prohibited throughout the Hotel, including guest rooms and all common areas.
Violation of this rule may trigger the fire detection and alarm system, which is directly connected to the emergency services.
In the event of a false alarm caused by smoking or the use of open flames or heating devices, the Guest will be charged a contractual penalty of 2000.00 PLN or 500.00 EUR, plus any additional costs related to damages or destruction resulting from the proper intervention of emergency services.
4. Ban on storing dangerous items and food – The Hotel does not store weapons, ammunition, flammable materials, or Guest’s food.
5. Guests are required to comply with the prohibition on leaning out of windows, stepping onto windowsills, roofs, or other external parts of the building. It is also forbidden to place any items on windowsills, balconies, roofs, and other external parts of the property. The Hotel is not responsible for damages resulting from violations of this prohibition.
6. Ban on using devices not included in room equipment – for fire safety reasons, candles, heaters, and other devices not part of the room’s equipment are prohibited, except for phone and laptop chargers. A breach of this prohibition may result in the activation of the fire alarm system and shall render the Guest liable for the intervention costs as specified in §11, point 3.
7. In the common areas of the Hotel, including corridors, stairwells, elevators, and the lobby, silence must be maintained. Loud conversations and any noisy behavior are prohibited. This ban also applies to the rooms during quiet hours.
8. The Hotel reserves the right to check the technical condition of the room once every 24 hours to ensure safety and maintain an appropriate standard.
9. The Hotel prohibits solicitation, street selling, and gambling activities on the premises.
10. The Hotel does not provide medication nor currency exchange services. Payments for hotel services are accepted exclusively online.
11. The Guest and their companions consent to the processing of their personal data by the Hotel in accordance with data protection laws for the purpose of providing hotel services.
§12 Final Provisions
1. None of the provisions of these Terms and Conditions excludes or in any way limits the rights arising from legal regulations.
2. In matters not regulated by these Terms and Conditions, Polish law applies.
3. The content of the Terms and Conditions may change.
4. Changes to the Terms and Conditions do not affect the conditions of reservations made before their implementation.
5. The Terms and Conditions come into effect on the date of publication.
